Personal Assistant
Warsaw, Poland
As we open our new Warsaw office, we are looking for a proactive and highly organised Personal Assistant to provide dedicated, on-the-ground support to our CEO, who is based in Warsaw. Based from our Warsaw office, you'll work alongside the CEO's existing PA (UK based) to cover his day-to-day personal and administrative support. This is primarily a personal and executive support role, managing the CEO's diary, correspondence, travel and day-to-day arrangements across both business and personal matters, with a secondary responsibility for administrative and office coordination duties as the new Warsaw office gets established.

Personal & Executive Support to the CEO
Manage the CEO's diary, meetings, travel arrangements and correspondence
Manage the CEO's personal and domestic arrangements, running errands as required
Act as a trusted point of contact in Warsaw, exercising discretion and confidentiality at all times
Anticipate the CEO's needs and proactively manage his schedule and priorities
Expected to be out and about regularly on the CEO's behalf; a driving licence is preferred but not essential
Office & Administrative Support
Provide day-to-day administrative support for the Warsaw office, including supplies, equipment and facilities.
Support employee onboarding and offboarding administration, including equipment and documentation
Coordinate meeting rooms and office communications
Assist with vendor relationships and maintain an orderly, safe and productive office environment
Help plan team social events and employee engagement activities for the Warsaw office

Proven experience as a Personal Assistant, Executive Assistant, or similar one-to-one support role
Experience booking executive travel and international trips
Excellent organisational, communication and multitasking skills, with the ability to manage competing priorities
High level of discretion and trustworthiness, given the personal nature of the role
Fluency in English (spoken and written)
Familiarity with Polish employment and administrative practices is an advantage
Comfortable being flexible and responsive outside standard office hours where needed
